Position Title: Executive Assistant
Reports To: Mrs. Shanika, President
Employment Type: Full-Time (Salary)
Location: Fayetteville, North Carolina (Travel Required)

Position Summary
JJD Learning Academy is seeking a highly organized, dependable, and professional Personal Assistant to provide executive-level administrative and personal support to the president. This position serves as a trusted extension of the President, ensuring daily operations, scheduling, communication, travel coordination, and special projects are managed efficiently. The ideal candidate is proactive, detail-oriented, maintains strict confidentiality, and thrives in a fast-paced environment where priorities may change quickly.

Requirements

Minimum Qualifications
Applicants should possess:
  • High school diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • Minimum of two years of administrative, executive assistant, office management, or related experience preferred.
  • Valid driver's license with a clean driving record.
  • Reliable personal transportation.
  • Eligibility to work in the United States.
  • Ability to pass a criminal background check.
  • Ability to successfully complete a pre-employment drug screening.

Physical Requirements
This position requires the ability to:
  • Sit, stand, and walk for extended periods.
  • Lift up to 25 pounds.
  • Travel locally and occasionally out of state.
  • Operate standard office equipment.
  • Drive as needed for business purposes.
Work Schedule
This position generally follows normal business hours; however, flexibility is required. Evening, weekend, holiday, and after-hours work may be necessary to accommodate meetings, organizational events, travel, emergencies, or changes in president's schedule.

Travel Requirements
The Personal Assistant must be willing to travel locally and out of state with President when business needs require. Overnight travel and occasional extended travel may be required.

Responsibilities

The Personal Assistant is responsible for providing comprehensive administrative and operational support, including but not limited to:
  • Manage the president's daily calendar, appointments, meetings, and travel schedule.
  • Coordinate and confirm meetings with employees, clients, vendors, community partners, and stakeholders.
  • Screen phone calls, emails, and other communications while responding professionally on behalf of the organization president when appropriate.
  • Prepare reports, presentations, meeting agendas, correspondence, and other business documents.
  • Maintain organized electronic and physical filing systems while safeguarding confidential information.
  • Coordinate business and personal travel arrangements, including flights, hotels, rental vehicles, and itineraries.
  • Run business-related and approved personal errands as needed.
  • Assist with planning meetings, conferences, training events, and community events.
  • Monitor important deadlines and provide reminders to ensure commitments are met.
  • Assist with special projects and administrative initiatives assigned by president.
  • Maintain accurate records and organize office documents.
  • Coordinate with department leaders to ensure timely communication and project completion.
  • Assist with purchasing office supplies and other business necessities.
  • Attend meetings, take detailed meeting minutes, and distribute follow-up action items.
  • Represent the president and JJD Learning Academy professionally during interactions with staff, families, business partners, and the public.
  • Perform additional duties as assigned to support the organization's mission and operations.
